Alpha & Omega Law Corporation and its related consulting company (“Firm”) is looking for a full-time Administrative Assistant to undertake the day-to-day administrative operations to achieve good corporate governance of the Firm, ensure a clean, pleasant, happy and comfortable environment for all staff and visitors to its office premises and contribute substantially to delivering excellent client service.
Responsibilities include:
(a) Support the day-to-day administrative operations of the Firm (daily);
(b) Schedule, organise and coordinate internal and external meetings/conference, courses and other events;
(c) Maintain proper filing of manual and electronic documents (daily);
(d) Daily checking, retrieving and processing of correspondences (including e-correspondences received from Courts and government bodies) (daily);
(e) Supporting team by systematically reminding when email responses have not met the internal timelines of the Firm (daily);
(f) Mailing of letters;
(g) Maintain pantry and stationery stock/inventory;
(h) Manage all IT hardware and software and simple troubleshooting. For more complicated troubleshooting, required to work with IT service provider;
(i) Manage suppliers/vendors of the Firm;
(j) Support legal team with drafting and sending of standard letters/emails, formatting of lengthy documents and accurately saving documents received and sent out;
(k) Review for completeness and accuracy of documents submitted to Director for approval;
(l) Track deadlines, calendar events, meetings and appointments;
(m) Assist in administrative and procedural requirements needed for management of legal files, notarisation and commissioning of documents;
(n) Assist with execution of email marketing and digital marketing of Firm;
(o) Perform other ad-hoc duties assigned by the Management.
