COMPANY DESCRIPTION

With a capacity of around 400 beds, Peacehaven Nursing Home provides compassionate, individualized, holistic care to all without discrimination. We offer a comprehensive gamut of services to care for the sick, frail and elderly who have physical or mental disabilities with minimal or no appropriate caregiver support at home.

The Home has 14 separate Resident Living Areas (RLAs), each designed as an individual home-like environment. Hope RLA is specially designed to meet the needs of relatively independent residents with dementia.

Peacehaven Nursing Home has also been awarded the bizSAFE level 3 status which affirms our commitment to safety and health standards at the workplace.

RESPONSIBILITIES

1. Report to Executive Director

  • Provide secretarial/administrative support
  • Provide executive secretarial support to the Executive Director through the:
    • Calendar management for the executive director
    • Coordinate and organize meetings
    • Recording of minutes
    • Attending to the needs of visitors
    • Preparation of meeting room when required
    • Write or type proposals for submission
    • Correspondence typing for external parties
    • Creating or updating policies and procedures
    • Managing email communications and official correspondence

2. General

  • Responsible for providing administrative support to Executive Director and overall administration of Peacehaven Nursing Home through the:
    • Maintaining office equipment such as photocopiers and printers
    • Providing support to HR and Finance when needed
    • Assisting visitors and staff when necessary
    • Managing Peacehaven's generic email and incoming mail
    • Document distribution to relevant departments
    • Assist in mass communication to the entire staff

3. Maintain confidentiality of sensitive documents

QUALIFICATIONS
  • Diploma or Degree with at least 1- 2 years experience in Business Administration or similar role.
  • Hands-on and proactive with ability to prioritize tasks and meet deadlines
  • Strong analytical and problem-solving skills, meticulous with an eye for detail
  • Good interpersonal and communication skills

Working Hours

  • 8.00 am to 5.15 pm (Monday to Friday, 45 minutes lunch break) or
  • 8.30 am to 5.45 pm (Monday to Friday, 45 minutes lunch break)
