Job Description
- Import Shipments:
- Coordinate with brand principals/suppliers, service providers to manage shipping arrangements (import)
- To check the best quotation before to decide the shipping mode for all import shipments.
- To remind merchandisers if the freight cost is exceeded from landed cost calculation before arrange the shipment.
- Follow up with brand principal on invoice & packing list.
- Prepare payment if TT before shipment
- Issue SS upon confirmation of the shipment ETD with brand principal
- Liaise with freight forwarder review and negotiate freight rates & sailing schedule (ocean, air & courier)
- Compute landed cost for each shipment.
- Monitor shipment once freight forwarder confirms the schedule.
- Update the delivery schedule & input shipment data into EPB.
- Upon arrival of goods, monitor IQC status and inform Merchandiser to post the IQC.
- Compile, review and confirm accuracy of payments and billings of external service then prepare payment for service providers
- Compile and submit monthly GST Giro payments to the Finance Department
- Analysis of monthly freight activities
- Generate monthly insurance reports and manage insurance claims
- Manage registrations of new service providers
- Renew/update license
- Monitor stock levels at external warehouses and update warehouse in charge
- Export shipments:
- Coordinate with Salesmen, Warehouse for the packing detail
- Record customer payment details to update account department.
- Coordinate with customer and forwarder regards to shipping arrangement
- Arrange shipment by courier/customer appointed forwarder.
- Prepare export shipping documents.
- Monitor warranty request and ensure replacements are sent out.
- Foreign shipment to company own shop
- Provide contracts-related advice to traders.
- Review, draft and negotiate commercial contracts and relevant documents (including trading, hedging and shipping contracts)
- Ensure the organisation’s contract documents are accurate and well maintained in a systematic database.
- Monitor, manage and provide summary reports on the status and performance of commercial contracts.
- Liaise with internal and external parties to keep track of and manage contracts-related disputes and disagreements.
- Assist in ad hoc projects as assigned.
Job Requirements
- Bachelor degree or equivalent (Business Administration, Maritime Studies or legal-related majors are preferred)
- At least 2 years’ work experience in relevant industry and in similar role
