Receptionist

Work Location: Woodlands Spectrum 1 (Nearest MRT Admiralty station)


Duties and Responsibilities:

Front Desk

  • Receiving visitors at the front desk by greeting, welcoming, and directing and them appropriately.
  • Handle all incoming telephone calls, divert calls to respective department and taking down messages when required.
  • Manage couriers, incoming & outgoing mails, perform sorting and distribution of mails to relevant department.

Office Admin & Office Supplies

  • Manage ordering and keeping track of all office general supplies (stationery, name card, bottled water, pantry items, etc.)
  • Summarize monthly / yearly admin purchase item list.
  • To upkeep the supplies and tidiness of the meeting rooms.
  • To raise Purchase Requisition for operation and admin related invoices; and to ensure the payment is made on time. Transportation management including of vendor management.
  • Work with Manufacturing Managers and vendor for any ad hoc bus service requests
  • check and process monthly invoice, handle employee feedback and drive for improvement plan.
  • To support for training rooms set up, training materials preparations and any necessary admin support from L&OD.
  • To assist employees on season parking related inquiries.
  • Perform other assigned tasks by Supervisor / HR.

Secretarial/ HR related duties

  • To assist secretary and/or HR for the arrangement of VIP, Clients, Senior Leaders lunch/dinner.
  • Festive decorations and celebrations, engagement activities, etc.
  • To assist on HR admin work that includes preparation of orientation kits, locker keys, access pass and the director’s room (if any) are ready for the new hires.

Educational/Certification Requirement:

  • Minimum N/ O-Level and above
  • Office admin certificate/ or related

Experience Requirement:

  • Minimum 3 to 5 years relevant experience
  • Organized and meticulous
  • Good coordination, interpersonal skills and a good team player
  • Proficient in MS Office
