Job Title: Administrative Assistant

As an Administrative Assistant, you will be responsible for providing essential administrative support to ensure the smooth operation of the company's day-to-day activities.


Responsibilities:

  • Coordinate with courier services to ensure timely and accurate delivery of lab orders.
  • Track and record all incoming and outgoing lab deliveries, ensuring proper documentation and handling.
  • Maintain accurate records of invoices, lab delivery orders, and other relevant documents.
  • Generate invoices for orders and ensure timely processing and payment.
  • Generate daily and monthly reports for management review, providing insights into delivery performance, stock levels, and other key metrics.
  • Assist in managing stock levels by placing orders with suppliers as needed.
  • Conduct regular stock takes to ensure accuracy and availability of inventory.
  • Respond to customer enquiries in a timely and professional manner, providing assistance or directing enquiries to the appropriate person.
  • Gather customer feedback to identify areas for improvement and ensure high levels of satisfaction.
  • Work collaboratively with other team members to support overall business objectives.
  • Anticipate production team needs and prompt them on pending deadlines to ensure smooth operations.


Qualifications:

  • Previous experience in administrative roles preferred.
  • Strong organizational skills with a keen attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent communication and interpersonal skills.
  • Ability to work effectively in a fast-paced environment and multitask effectively.
  • Willingness to learn and adapt to new tasks and responsibilities.
