Contract Period: From 3 June 2024 to 31 May 2025.
Option to Extend: 1 June 2025 to 31 May 2026.
Mondays to Thursdays: 8:30am to 6:00pm, inclusive of 1hr lunch break
Fridays: 9:00am to 6:00pm, inclusive of 1hr lunch break
Responsibilities:
- Front Counter Management:Manage all front counter services efficiently.
Handle inquiries and concerns from visitors, parents, staff, and students promptly and courteously.
Address phone queries and complaints effectively.
- Communication Management:Ensure messages are accurately recorded and directed to the appropriate staff.
Facilitate smooth call transfers as necessary.
- Inventory and Mail Handling:Manage office inventory including stationery and administrative supplies.
Receive and distribute all incoming and outgoing mail promptly.
- Additional Administrative Duties:Oversee the lost and found process.
Maintain loan records of school items such as uniforms and umbrellas.
Provide general administrative support to the administrative office.
Perform data entry tasks and assist with any other duties assigned by the school.
Student Service Duties:
- Student Welfare Management:Record and coordinate student early releases, including contacting parents.
Collaborate with Form-Teachers & Student Management Team (SMT) regarding students' movements.
- Attendance and Discipline Monitoring:Monitor student attendance, late arrivals, and CCA participation.
Provide real-time attendance information to support the Student Management Team.
- Safety and Incident Management:Manage the process of cellphone confiscation from students.
Assist in recording incidents, sick bay visits, and ambulance calls.
Issue student lift passes as required.
Qualifications:
- Minimum 3 years of experience in administration, preferably in a school setting.
- Proficient in IT environments, including MS Office and messaging platforms like WhatsApp.
