BROAD FUNCTION
Provide administrative and operational support to the Operations team such as liaising with external contractors and partners on operational and contracting issues, timely preparation and submission of reports, compilation of reports from contractors, and manage daily administrative functions for the team.
ROLES AND RESPONSIBILITIES
- Support in the preparation of reports (including entry of data into the respective reports), dashboard, statistics and presentation material for internal and external stakeholders.
- Monitor and ensure the timely submission of reports and data to HQ and relevant authorities.
- Monitor, compile and ensure the timely submission of reports from contractors.
- Liaise with external contractors and partners (e.g. Woodlands Health Campus) on operational and contracting issues.
- Coordinate, schedule and organise meetings, including preparing and distributing documents.Maintain and update the organisation chart for Nursing Home (NH) and Senior Care Centre (SCC).
- Support the internal communication (e.g. sharing of event notifications to staff, meeting announcement and etc).
- Manage daily administrative functions for the Operations team.
- Maintain the filing system / records to ensure timely retrieval of files and record when required.
- Support and assist the Admin, Business Office teams and Woodlands Nursing Home welfare activities, when required.
- Perform other duties as and when assigned by Executive Director.
REQUIREMENTS
- Minimum Diploma in any field.
- Preferably 5 years of relevant working experience in healthcare industry or eldercare Setting.
- Strong proficiency in MS Office Word, Excel, PowerPoint, and Outlook.
- Able to adapt and use different software applications.
- Good interpersonal, communication and organisational skills.
Good oral and written English. - Good team player.
