We are seeking a highly organized and detail-oriented individual to join our team as a General Administrative Assistant. The ideal candidate will play a pivotal role in supporting the smooth operation of our company’s administrative functions on a day-to-day basis. The General Administrative Assistant will undertake various administrative tasks, ensuring efficiency and accuracy in all activities.
Key Responsibilities include, but not limited to, the following :
1. Provide general administrative support to ensure efficient operation of the office.
2. Assist in the organization and coordination of office operations and procedures.
3. Perform clerical duties, including answering phone calls, responding to emails, and managing correspondence.
4. Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, and verifying receipt of supplies.
5. Handle incoming and outgoing mail, including sorting, distributing, and preparing mailings.
6. Maintain electronic and hard copy filing systems, ensuring all documents are organized and easily accessible.
7. Assist in scheduling and coordinating meetings, appointments, and travel arrangements for staff.
8. Assist in the preparation of reports, presentations, and other documents as needed.
9. Provide support in managing office facilities and equipment, including coordinating repairs and maintenance.
10. Uphold a professional and tidy office environment by ensuring cleanliness and organization at all times.
Qualifications :
1. Diploma or equivalent
2. Proven experience in a similar role or office administration.
3. Proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint).
4. Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
5. Strong attention to detail and accuracy in work.
6. Excellent communication and interpersonal skills, both written and verbal.
7. Ability to work independently with minimal supervision and as part of a team.
8. Demonstrated professionalism and reliability with a strong work ethic.
9. Ability to maintain confidentiality of sensitive information.
10. Neat and tidy appearance with a professional demeanor.
