We are seeking a skilled Property Executive to oversee the day-to-day management of client's properties. The ideal candidate will possess a comprehensive skill set encompassing property management, administration, client servicing, technical expertise, vendor management, and strong communication skills. The primary responsibilities include managing tenancy works, conducting routine equipment checks, addressing maintenance and repair issues, performing administrative tasks, attending to client requests, troubleshooting mechanical and electrical systems, supervising vendors, and maintaining effective communication with stakeholders.
Responsibilities
1. Property Management:
- Manage tenancy work efficiently, ensuring timely completion and adherence to quality standards.
- Conduct daily checks on essential equipment to ensure proper functioning and safety.
- Troubleshoot maintenance and repair issues promptly to minimize downtime.
- Ensure all equipment within the premises are in working condition and compliant with regulations
2. Administrative Tasks:
- Perform invoicing and maintain accurate records of financial transactions.
- Report observations and findings to the Building Manager regularly.
- Assist the Building Manager in collating information for reports and presentations.
3. Client Servicing:
- Attend to client requests promptly and professionally, addressing property-related matters with a focus on delivering high standards of service.
- Maintain positive relationships with clients, ensuring their satisfaction and addressing any concerns effectively.
4. Technical Expertise:
- Utilize knowledge of mechanical and electrical systems to troubleshoot issues related to M&E, sanitary & plumbing appliances, and air-conditioning systems.
- Implement preventive maintenance measures to minimize equipment failures and ensure smooth operations.
5. Vendor Management:
- Supervise out-source vendors in their regular maintenance tasks and ad-hoc repairs.
- Procure parts or quotations for repairs as needed, ensuring cost-effectiveness and quality of service.
6. Communication:
- Effectively communicate with stakeholders, including immediate superior, Building Manager, and clients, to ensure alignment of goals and smooth operations.
- Address potential issues proactively and provide regular updates on property-related matters.
Qualifications:
- Diploma / Bachelor’s degree in Property Management, Facilities Management, Business Administration, or related field.
- Proven experience in property management.
- Strong technical skills in mechanical and electrical systems, with the ability to troubleshoot complex issues.
- Proficiency in administrative tasks such as invoicing, reporting, and data management.
- Excellent communication and interpersonal skills, with the ability to interact effectively with clients, vendors, and internal stakeholders.
- Demonstrated ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines.
- Certification in Property Management or Facilities Management is a plus
