Job summary
To provide secretarial and administrative support to CEO and COO of Thomson Medical Singapore.
Responsibilities:
- Calendaring and scheduling appointments.
- Co-ordinate and handle logistical arrangements for meetings (including virtual meetings).
- Minute taking for monthly management meetings.
- Manage and respond to email, phone enquiries and other correspondence.
- Organise travel arrangement, itinerary, accommodation, airport and ground transfers.
- Assist CEO and COO in administrative / confidential work / expense claims etc.
- Arrange activities, dinner or events as assigned.
- Register courses / seminars / conferences.
- Collate monthly reports / powerpoint slides.
- Handle the administrative duties for admin office including sorting incoming mails from Operator Room, administrative reports for outgoing mail / photocopy machine usage, ordering of stationary and beverages, upkeeping of admin office equipment, food orders for lunch meetings, arranging courier services to internal and external parties.
- Any other ad-hoc duties as assigned by the CEO and COO.
Requirements:
- Diploma or recognized secretarial certification, with at least 3 years of relevant experience.
- Proficient in Microsoft Excel, Work, Powerpoint and Outlook.
- Good organization skills.
- Ability to multi-task and prioritise assignments.
- Attention to details.
- Willingness to learn and acquire new skills to improve job efficiency and effectiveness.
