Scope:
Coordination with Building Management
· Being the main contact person between Building Management and office premises i.e. fire drills, renovation and maintenance works within the compound of the office.
· Order and track office keys, tenant & parking passes (where applicable).
· Coordinates emergency procedures for the office. (Fire Warden)
Office Administrative and Management
· Ensure day-to-day efficient operations of the Singapore office
· Office travel duties - liaison with local travel agents to ensure best practice, negotiate corporate hotel rates
· Act as HSE liaison with building managers and our internal stakeholders
· Co-ordinate office supplies, for example, stationery and pantry supplies
· Manage the itineraries and travel of visiting staff from outside the region, where appropriate
· Support office renovations/refurbishments in-conjunction with other key stakeholders
· New Employees:
o Inform new employees on office procedures (access to the building, requesting office supplies, etc.) upon arrival.
o Ensure that new employees are provided with all necessary documentation on first day, and all required documents are signed.
· Organizes special functions for the office including but not limited to holiday functions, holiday cards and any special projects assigned
· Participate as active member of Business Continuity Plan related activities and administrative work (such as Flu Manager/ Safety Management Officer)
· Coordination between all departments and functions.
· Any other task that is appropriate from time to time.
Country Manager's Assistance
· Maintains the calendar of the Country Manager
· Sets up appointments, hotel accommodation and makes travel arrangements for Country Manager
· Prepares correspondence and PowerPoint presentations for the country manager.
· Minutes taking for meetings.
· Travel and Expense policy management.
Requirements:
- Minimum Degree in Business Administration with 5-7 years of relevant experiences handing office/personal assistant scope (office management role)
- Planning and organizational skills
- Work independently in a dynamic environment and quickly adaptable to changes
- Excellent collaboration skills
- Effective communication and interpersonal skills
- Attention to detailed customer orientation
- High levels of initiative
