The Role:
The Event Services Executive oversees all event on-site tasks. He/She is the main person that contacts the vendors to ensure that the events are on time and within budget. He/She works closely with other departments and vendors to ensure operational requirements are fulfilled.
Job Responsibilities:
- Plan and develop programs, agendas, budgets, and services according to customer requirements.
- Submit concepts and cost to clients for approval
- Prepare the BOQ (breakdown of quantity) by listing down the materials, fittings, and fixtures that will be required.
- Source for quotes on procurement of required material
- Monitor events to ensure compliance with applicable regulations and laws, the satisfaction of participants, and the resolution of any problems that arise.
- Coordinate and negotiate with vendors or suppliers.
- Coordinate services for events, such as accommodation and transportation for participants, facilities, catering, signage, displays, special needs requirements, printing, and event security.
- Arrange the availability of audio-visual equipment, transportation, displays, and other event needs.
- Liaise with relevant parties to ensure electrical/water plans and internet connection (on request) are done
- Raise PO and close the project after the events
- Conduct checks on the quality of fabrication by suppliers according to requirements
- Conduct on-site servicing to address clients’ feedback
- Conduct on-site supervision of suppliers and move-in / move-out arrangements
- Assist the department in any other matters when necessary
Job Requirements:
- Higher Nitec or Diploma in Facilities Management / Construction Management or any other relevant discipline
- At least 2 years of experience in event operations (on-site)
- Knowledge of material fabrication and finishing will be an added advantage
- Able to work independently and under pressure with tight deadlines.
- Initiative and team-oriented.
- Able to handle task management in a high-stress environment
- Excellent problem-solving and time-management skills
