- Manage and process warranty claims from six service partners in Sri Lanka, Taiwan, and Thailand.
- Review and verify claim documents for accuracy and completeness.
- Ensure claims are submitted into the warranty system within 60 days from Repair Open (RO) date.
- Coordinate procurement and shipment of spare parts, and manage retrieval and return process for warranty items with service partners.
- Expedite critical parts ordering and delivery to distributors/service partners to ensure prompt restoration of engines/equipment.
- Act as primary point of contact for warranty-related issues with service partners, resolving disputes and concerns promptly.
- Communicate effectively with service partners to gather missing information or documentation required for claim processing.
- Coordinate internally with Customer level 2 support, Warranty, and Sales departments to facilitate claim processing and resolution.
- Maintain an organized database of warranty claims, including status updates, approvals, rejections, and pending claims.
- Generate monthly reports on warranty claims for submission to Germany.
- Ensure accurate documentation and filing in compliance with company policies and regulations.
- Generate and assign internal job numbers for tracking and reference purposes.
- Raise Purchase Requisitions and coordinate with Purchasing Team for timely issuance of purchase orders.
- Receive invoices from service partners for warranty-related claims and process goods receipt in SAP system for payment initiation.
- Seek opportunities for process improvement to enhance overall customer satisfaction.
- Propose and implement solutions to streamline workflows, reduce errors, and improve efficiency in warranty claim processing.
Requirement
- Min Degree/Diploma
- Min. 4-5 years of relevant experience in warranty administration, customer service, or administrative roles.
- Proficient with SAP and MS Office.
- Good interpersonal and communication skills
- Ability to multitask, prioritize workload, and work effectively in a fast-paced environment.
- Strong attention to detail and accuracy in data entry and record keeping
