The Administration Officer is responsible to provide quality customer service to stakeholders, administration support to Curtin Singapore staff.
DUTIES:
· Dealing with enquiries from students and the general public via telephone, voicemail, fax, email and in person in a timely and professional manner
· Providing appropriate responses, services or referrals and reporting of enquiries to relevant staff where appropriate
· Provide accurate information and assistance to all stakeholders
· Assist with the processing of correspondence in a timely manner as required
· Contribute to the most effective and efficient management of resources by maintaining appropriate manual and computerised records and data bases i.e. electronic filing system
· Maintain stationery supplies and office inventory including ordering and reconciliation of accounts
· Manage freight, courier deliveries and reconciliation of accounts for these activities
· Collection and postage of mail
· Manage season parking for staff and reconciliation of accounts for these activities
· Organise office events and catering for office functions and meetings as required
· Be responsible for staff amenities i.e. Board Room, Pantry etc.
· Provide word processing and data entry support
· Assist with processing all student receipts
· Other General Duties as required
SELECTION CRITERIA:
Essential:
· Basic Microsoft Office Suite skills i.e. Word, Excel, PowerPoint, Outlook etc.
· Demonstrated administrative and organisational skills
· Excellent telephone and reception desk communication skills
· Excellent customer service skills
· Ability to work within existing guidelines, policies and procedures
· Handle multiple tasks whilst maintaining a professional manner
· Work well within a team environment
Desirable:
· Completion of a tertiary qualification or demonstrated relevant work experience
