Job Scope:
- Administrative Support: Provide high-level administrative support to executives, including managing a calendar of appointments, composing and preparing confidential correspondence, arranging detailed travel plans, itineraries, and agendas.
- Document Preparation: Prepare reports, memos, letters, financial statements, and other documents, using word processing, spreadsheet, database, or presentation software
- Meeting Coordination: Coordinate executive meetings, attend them as required, prepare meeting agendas, perform minute-taking, and ensure follow-up on action items.
- Client Relations: Handle confidential client and business matters and serve as the primary point of contact for clients. Facilitate smooth communications between the executive and colleagues or clients across the globe, particularly those in Japan.
- Travel Arrangements: Organize travel arrangements including booking flights, cars, and hotel or restaurant reservations for executives and other staff members.
- Expense Management: Prepare and track executive expense reports and reimbursements.
Job Requirements:
- Min. Degree in Business Admin or any relevant field
- Able to speak Japanese fluently as will have to speak and support Japanese clients/ market
- Min. 1 yr experience as PA/ Secretary or any relevant field
