The prime function of this role is to ensure , oversee and manage the company’s various functions as well as assist in overall business development.
You will be responsible for providing secretarial and administrative support to the executive in a professional and timely manner. You will work one-to-one with your immediate supervisor on a wide variety of matters.
You must be flexible to meet the demands of the growing organisation and hone your organisational and time management skills.
Scope of Work
General
- Handle all requests, enquiries through phone or email quickly and professionally
- Liaise with the various team members to handle such enquiries
- Monitor office supply levels and order when appropriate
- Develop and carry out an efficient documentation and filing system for both paper and electronic records
- Delegate tasks as appropriate to other team members
- Prepare reports by collecting, analysing, and summarising information
Human Resource
- Liaise with various sources such as agencies for sourcing of manpower
- Liaise with advertising agencies, as well as put up adverts on various sources for recruitment efforts
- Prepare and maintain employment contracts using given templates
- Maintain all documentation for personnel in a filing system
- Use the company HR system for submission of payroll
Finance
- Collect and maintain records of attendance for all sites as required for payment claims
- Preparation and mailing/emailing invoices for all clients
- Record payments incoming in accounting system
- Send out reminders for outstanding payments
- Submission of all invoices, and receipts to be paid by the company into accounting system
Operations
- Assist in ensuring any administrative requirements for operations are met such as correspondence with suppliers , or service agreements
- Manage and maintain daily record of attendance of all employees
- Submission of Overtime hours and attendance to accountant for payroll
- Ensure payslips are printed and given to the operations supervisor for distribution
Business Development
- Ensure all licence requirements are maintained , and renew when necessary
- Submission of documents for application of accreditations, or such renewals as and when necessary
- Application of government grants
- Liaison with government agencies pertaining any compliance requirements
