Job Summary:


We are seeking a highly skilled and proactive Personal Assistant to support our C-suite executives. The ideal candidate will provide comprehensive administrative support, manage confidential information, and assist in coordinating executive tasks and events. This role requires exceptional organisational skills, flexibility, and the ability to manage various ad hoc tasks efficiently.


Key Responsibilities:

  • Executive Support and Confidentiality:
  • Handle sensitive and confidential information with the utmost discretion.
    Prepare and manage communications and documents, ensuring confidentiality and accuracy.
  • Schedule and Meeting Coordination:
  • Maintain and coordinate complex calendars for executives, managing appointments, board meetings, and high-level conference calls.
  • Organize internal and external meetings, ensuring confidentiality and privacy in all arrangements.
  • Document and Presentation Preparation:
  • Assist in preparing presentations and reports for stakeholder engagements.
  • Manage the production of materials for board meetings and executive sessions.
  • Travel and Expense Management:
  • Coordinate national and international travel arrangements for executives, planning all aspects to ensure seamless trips.
  • Manage and reconcile expenses and financial reports accurately and promptly.
  • HR and Administrative Support:
  • Support HR-related tasks, handling sensitive information with confidentiality.
  • Facilitate HR communication and assist in implementing HR strategies.
  • Event Coordination and Support:
  • Coordinate and support company events, including logistics, guest lists, and venue arrangements.
  • Ensure events are executed smoothly and align with company standards and objectives.
  • Ad Hoc Tasks:
  • Efficiently manage and execute ad hoc tasks as assigned by the executives, ranging from project management to operational adjustments.
  • Adapt quickly to changing priorities and new challenges.

Qualifications:

  • Bachelor’s degree in Business Administration or a related field.
  • A minimum of 5 years of experience as a Personal Assistant or Executive Assistant to C-suite executives, preferably in the healthcare or medical technology sector.
  • Demonstrated ability to handle confidential information with discretion.
  • Strong organizational and time management skills, with the ability to prioritize effectively.
  • Excellent communication skills, both written and verbal.
  • Proficiency in MS Office and familiarity with advanced communication tools.
  • Willingness to travel domestically and internationally as required.
