DM NDT, a leading I.R.M. services company in the Marine, Oil and Gas and Petrochemical industries and part of DM Group Services, is currently looking for Operations Coordinator to join their team on a full time basis.
JOB RESPONSIBILITIES
- Handling general administrative tasks such as scheduling meetings, maintaining HR databases, preparing documents, and responding to employee inquiries.
- Accurately calculating, preparing, and submitting CPF contributions on behalf of the employees to the CPF Board, ensuring compliance with CPF regulations and timely payments for employees’ retirement savings and related benefits.
- Basic accounting tasks such as processing invoices, managing accounts payable/receivable, and reconciling financial records as needed.
- Handle paperwork for government-related claims (MINDEF/MSF/etc.) and managing insurance policy renewals for WICA and PL
- Managing workers’ permit renewals, timely submission of documentation, communication with employees, and coordinating with authorities to ensure that employees can continue working legally within the country.
- Coordinate with project team members, ensuring everyone is aware of their tasks, deadlines, and responsibilities. Facilitate communication and collaboration among team members.
- Maintain project documentation, including project plans, schedules, meeting minutes, and status reports. Ensure all documentation is up-to-date and accessible to relevant stakeholders.
- Coordinate the allocation of resources required for the project, including personnel, equipment, and materials. Monitor resource utilization and adjust as necessary to ensure project success.
- Track project progress against established milestones and deliverables. Ensure that project deliverables meet quality standards and client requirements.
- Communicate regularly with project stakeholders, including clients, team members, and management. Provide updates on project status, issues, and risks, and address any concerns or questions they may have
- Manage changes to project scope, schedule, or requirements.
REQUIREMENTS / QUALIFICATIONS (must haves/essentials to be in bold, others in regular font)
- Proficiency in Microsoft Office, Excel, Word, PowerPoint
- Good written and spoken English
- Min. N/O Level or equivalent (suitable for fresh graduates)
- Detail-oriented, strong organizational skills, possess a basic understanding of accounting principles, and be familiar with HR processes
- Preferably those able to start work immediately or within short notice.
