Facilities Coordinator (Soft Services)
Work Dynamics - Integrated Facilities Management
- To oversee and manage all the main contracted Soft Services PPM/Ad-hoc works (Cleaning ,Pest Control, Landscaping and any other general Soft Services).
- Covering Reception duties.
- Handling/Answering Functional emails (Facilities, OAC, Personal).
- Locker request.
- Season parking application/enquiries (Daily/Quarterly).
- GID card printing and card activation.
- Face recognition request.
- Submission Face recognition to BMO (twice weekly)
- Meeting room request.
- Printing, laminating poster and placed at energy hub and printing areas, input in digital tv's.
- VMS machine issues (Visitor card printer).
- Grant access and activation/deactivation of GID card, update for changes with system, ordering cards, gantry.
- Assist/handling/planning for event.
- Updating SOP and forms for Front desk.
- Updating quarterly and monthly event slides, upload in digital tv.
- Create Contactor staff card/account (Daily).
- Send out circular to all Focal from Facilities email
- Site walk for all Shell floors @ Metropolis to check on cleanliness. Eg; meeting rooms, office and pantry (Daily)
- Event decorations
- Liaise with HQ on requesting backfill and with Cleaning managers on cleaners.
- In-charge of the cleaners on site (solving issues, shortages, replacement request, daily attendance).
- Focal for landlord request (Change of default floor, basement access, card activation, requesting new basement card).
- In-charge of the receptionist team as and when needed (approval on restricted floor, swapping of meeting room, attendance, printing of forms, etc).
- Liaise with Health Department on HSSE Committee and updating of HSSE chart. Condust weekly HSSE walkabout.
- Attend users complains and requests (Email, Helpdesk phone etc).
- Prepare Master Schedule for PPM.
- Escort Vendor / Contractor / BMO when required
- Source for quotations when required
- Coordinate Fire Drill with BMO & Fire Warden Twice a year
