Qualifications & Certifications

  • Diploma in any discipline; Diploma in Secretarial functions or similar will be an advantage.
  • Specialized course / training in secretarial or administrative functions is an added bonus.

Experience

  • 2-years of working experience in office administration or equivalent;
  • Previous secretarial experience supporting Senior Management positions will be an advantage.

Competencies

  • Basic knowledge of Enterprise Resource Planning (ERP) is an added advantage.

Main Responsibilities

The Admin Executive is responsible for the overall management and administration of the office(s), particularly clerical support and administrative assistance to the Company such as paperwork, record keeping, document management, payroll management etc. He / she may also need to provide support to the Senior Management such as scheduling, time-management, correspondence and liaison, travel arrangements etc.


Key responsibilities:

  • Handle stationery, printer, internet connections and any administrative-related matters for the office(s);
  • Check, process and manage staff claims;
  • Assist in preparation and submitting travel requisitions, expenses claim and cash advance, etc;
  • Communicate and coordinate with other departments on appointments and other engagements of the Senior Management;
  • Assist other business functions and units such as Human Resource, Sales & Procurement, Informational Technology and Finance on administrative and document-related matters;
  • Perform any other ad-hoc duties assigned from time-to-time by the Senior Management.
