Responsibilities

Provide full administrative and secretarial support to the CEO to ensure the smooth management of the day-to-day operation. Handle sensitive and complex issues professionally and objectively. Take initiative as appropriate especially in the CEO absence.

Job Description

1、负责雇主的日常活动安排,出外商务旅行安排及雇主与家人的度假安排,做好出外旅行的一切准备工作与行程安排;

Responsible for the employer's daily activities, business travel arrangements and vacation arrangements for the employer and family, make all the preparations and schedule arrangements for the trip

-Calendar management: Managing CEO’s schedule by scheduling and coordinating appointments, meetings and events including booking of venues for lunch / dinner events.

-Travel management: Planning travel arrangement for the CEOs and HODs, including booking of flights, accommodations, ground transportation, travel insurance and managing travel itineraries.


2、雇主的单位办公室和家庭办公室的日常管理工作,要承担一些秘书的工作职能。如处理雇主的商务和私人信函、打字、处理电子邮件、接听电话、代雇主致电相关人士,为雇主建立和管理公司与私人文档及会议纪录等;

The daily management of the employer's unit office and home office takes on some secretarial functions. Such as handling employer's business and personal correspondence, typing, handling E-mail, answering telephone calls, making relevant calls on behalf of the employer, establishing and managing corporate and personal documents for the employer, Meeting coordination: Coordinating and scheduling of meetings, attending to CEO’s guests /visitors once they arrive at the office. etc


3、负责雇主的居家管理工作,要承担一些职业管家的工作职责。如负责管理雇主居家财务收支,居家日常采购,雇主居所的维修与保养。

In charge of the employer's home management, taking on some of the duties of a professional housekeeper. For example, be responsible for managing the employer's home financial income and expenditure, daily home procurement, repair and maintenance of the employer's residence.


5、负责代表雇主接待来的客人,并负责留宿客人的招待、食宿安排工作;

Responsible for the planning and management of the employer's family banquet, responsible for the reception of the guests on behalf of the employer, and responsible for the reception of the guests, accommodation arrangements and Administrative support: Providing general administrative support to the CEO, including managing expenses and claim matters.


6、代表雇主进行某些业务谈判,为雇主准备好待签字的合同文件,并能够策划安排雇主与谈判方的签约仪式;

Represent the employer in some business negotiations, prepare contract documents for the employer to be signed, and be able to plan and arrange the signing ceremony between the employer and the negotiating party


Requirements:

  • A level, diploma or degree holders are welcome to apply
  • Minimum of 3-4 years of relevant work experience as a Personal Assistant or company secretary
  • Outstanding organizational and time management / Good Communication skills
  • Honest, responsible, good in problem solving skill
  • An ability to multitask and prioritize daily workload
  • Excellent Discretion and confidentiality
  • Independent management capability, organizing ability and handling stress ability are needed.
  • Bilingual in English and Mandarin to handle Mandarin Speaking Clients, Business Partners, Government and Other organizations in , Must be Fluent in Chinese in order to communicate with CEO and his family members
  • Proficient in MS Office, Excel spreadsheet and excellent computer skills
  • Willing to do OT when required
  • Able to work on alternate Saturday(s) and work irregular hours (including public holidays) - only when required


Location and Working Hours:

  • Availability : Full-time
  • Location: Orchard MRT

Salary Range:

Negotiable based on candidates' actual working experience.

Salary arrange :$ 3800-4500
