The Administrative Assistant / Senior Admin Assistant provides general support in work scheduling, processing information, communication, records, and computer data input for the professional and administrative staff in the Department of Nursing.
Duties and Responsibilities
Specific (80%)
- Maintain HOD’s calendar (managing daily schedule, arranging meetings for HOD).
- Ensure Department’s Organization chart is kept up to date.
- Ensure manpower list of the department is kept up to date.
- Assist with staff rostering.
- Assist with typing and filing of official documents.
- Assist with preparation of files for new admissions of residents.
- Assist with coordination of training activities and registration of external courses such as conferences, etc.
- Assist with upkeeping of training records and related matters for Nursing Staffs and Care Concierges.
- Coordinate regular department meetings that include collation and dissemination of agenda, recording of minutes (if necessary) and dissemination.
- Receive pharmaceuticals from vendor(s), deliver to the treatment room and communicate to the Nursing team.
General (20%)
- Involvement in department events and/or participates in institution’s committees as appropriate
- Support the institution’s corporate programmes e.g. MOH Licensing and Accreditation audit, etc.
- Any other duties as assigned.
Job Requirements
- Minimally GCE ‘O’ levels.
- At least 1-2 year(s) working experience in related field, preferably in a healthcare environment.
- Strong interpersonal skills with pleasant disposition and ability to work well and interact with people at all levels.
- Good organisational and communication (verbal and written) skills.
- Good knowledge in use of Microsoft Office applications such as Word, PowerPoint and Excel, etc.
