We are looking for Executive Assistant to CEO to be a part of our

This is an exciting opportunity for a qualified professional with an overall 4+ years of experience to join and add value to one of the Fastest Growing BIC (Born in the Cloud) company. As the Executive Assistant reporting to the CEO, you'll be responsible for providing
a high-level administrative-secretarial support to the CEO, managing their schedule, arranging meetings, coordinating travel, and handling confidential information with discretion.
You'll act as a gatekeeper, screening communications and managing relationships with internal and external stakeholders.


Location: Central Business District (CBD), Singapore
Job Type: Full-Time

Only Singaporean / SG PR need to apply

Experience: 4 - 5 years of relevant experience

Salary Range: 4,000 SGD – 6000 SGD

Responsibilities:

  • Act as the point of contact for the internal and external communications, maintaining professionalism and confidentiality in every interaction.
  • Manage the CEO’s calendar, including scheduling meetings,appointments, and travel plans.
  • Collaborate with internal and external stakeholders, building strong relationships.
  • Prepare and edit various documents.
  • Being in charge of various payments.
  • Organize and coordinate executive meetings, including preparing agendas, taking minutes, and following up on action items.
  • Arrange travel itineraries, accommodations, and logistics for the CEO.
  • Coordinate events, conferences, and other professional engagements.
  • Anticipate the executive's needs, proactively addressing administrative and logistics challenges.
  • Oversee office inventory, ensuring necessary office supplies are stocked and ordered as needed.
  • Liaise with vendors and service providers, including negotiating contracts and managing relationships.
  • Manage incoming and outgoing mail and courier services, ensuring timely distribution and dispatch.
  • Assist with the on-boarding / off-boarding of new employees, equipping them with the necessary working tools and supplies.
  • Conduct research to support the CEO’s decision-making.
  • Undertake additional duties as assigned.

Qualifications:

  • Education: Diploma or equivalent qualification.
  • Experience: 4-5 years as an Executive Assistant or in a similar role supporting senior executives (secretarial & administrative experience).
  • Skills:
    • Excellent organizational and time-management skills.
    • Strong written and verbal communication abilities.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Ability to multitask and prioritize tasks efficiently.
    • Strong problem-solving skills and attention to detail.
    • High level of discretion and confidentiality.
  • Personal Attributes:
    • Professional demeanour and appearance.
    • Ability to work independently and as part of a team.
    • Proactive and adaptable to changing needs and priorities.
    • Strong interpersonal skills and ability to build relationships at all levels.
    • Excellent written and verbal communication skills.

  • Working Hours: Standard business hours, with occasional flexibility required for after-hours support.
