The position is responsible for day-to-day HR operations, including recruitment, learning and development and supporting employee engagement and welfare activities.
Learning and Development
- Organize training activities and administer training logistics
- Administer the Learning Management System and lead e-learning initiatives to enhance learning
- Manage training records and track the training budget
- Conduct training needs analysis to identify skill gaps and support the development of the annual training plan
- Ensure compliance with ISO standards and training process documentation requirements
- Identify, negotiate, and coordinate with external training providers to deliver training programs
- Manage internship and graduate programs while building partnerships with local educational institutions
- Liaise with government agencies to secure and manage various grants and schemes related to training and HR capability development
Recruitment and Onboarding
- Maintain an updated and accurate repository of job descriptions
- Source and manage recruitment using the most cost-effective strategies
- Oversee the full recruitment cycle for assigned positions, including interview coordination, document collection, salary proposal preparation, and candidate offers
- Ensure recruitment and onboarding processes align with established standard operating procedures (SOPs)
- Regularly update orientation presentation slides and conduct new employee orientation sessions
- Maintain organized employee records in personnel files
- Create employee profiles in the HR Information System (HRIS) and monitor onboarding progress
- Regularly follow up with employees on probation to ensure a seamless onboarding experience
Employee Engagement and Welfare
- Support employee engagement initiatives and monitor the welfare budget to ensure effective use of resources
- Coordinate and distribute employee well-being gifts for various occasions
- Assist in planning and executing employee engagement programs and activities
- Design and create HR communication materials to promote internal awareness and enhance engagement
- Perform additional duties and contribute to projects as assigned
Requirements
- NITEC / Diploma in Human Resources, Business Administration or relevant field
- 1 - 2 years of relevant experience in Human Resources
- Candidates with shorter notice periods are preferred
- Familiarity with the Employment Act and related regulations
- Familiarity with government portals used for managing training grants and work pass applications
- Proficiency in MS Office and basic graphic applications
- Ability to communicate and work collaboratively in a team environment
- Self-motivated and disciplined, with the initiative to start and complete tasks independently
- Good time management skills, with the ability to multitask and meet deadlines for repetitive tasks and ad hoc assignments
